Project Coordinator – Defence and Security

Mind Foundry is an Oxford University company, founded by world-leading academics. Our mission is to create a future where humans and AI work together to solve the world's most important problems

We believe that AI is one of the most important technological advancements in human history, and in order to create a better future, it must be created responsibly and in a way that aligns with human values. We do this by creating AI responsibly from trusted scientific principles. We develop algorithms that are humble, honest, and aware of their limitations.

Our work focuses on creating a future where humans and AI work together to radically transform our world for good. Our technology has been used to solve problems when no other solution was available. The Mind Foundry Platform powers comprehensive offerings for the most complex problems in Insurance, Infrastructure, Defence & Security, and others.

The Project Coordinator will play a key role in supporting our project management processes, facilitating the smooth execution of projects, and ensuring that all aspects of our projects are delivered on time, within scope, and budget. The successful candidate will have a strong project coordination background, a keen understanding of the defence and security sector, and the ability to obtain or currently hold security clearance.

What our Project Coordinator will be doing;

  • Coordinate internal resources and third parties/vendors for the flawless execution of projects.
  • Assist in the definition of project scope and objectives, involving all relevant stakeholders.
  • Ensure resource availability and allocation.
  • Develop detailed project plans to monitor and track progress.
  • Manage changes to the project scope, schedule, and costs using appropriate verification techniques.
  • Measure project performance using appropriate tools and techniques.
  • Report and escalate to management as needed.
  • Manage the relationship with the client and all stakeholders.
  • Perform risk management to minimise project risks.
  • Establish and maintain relationships with third parties/vendors.
  • Create and maintain comprehensive project documentation.
  • Travel to project sites or client locations to support project activities.
  • Provide regular updates to stakeholders throughout the project lifecycle on key achievements, progress and challenges.

Your background?

  • Proven working experience in project coordination, ideally within the defence, security, or related technology sectors.
  • Excellent client-facing and internal communication skills.
  • Written and verbal communication skills in UK English.
  • Solid organisational skills, including attention to detail and multitasking abilities.
  • Strong working knowledge of Microsoft Office.
  • Bachelor's degree in a related field.
  • Ability to obtain or currently holds security clearance.
  • Experience with project management software tools.
  • Strong interest in AI technologies and a willingness to learn about their applications in defence and security.
  • Knowledge or a willingness to learn about the UK defence and security sector's regulatory and compliance requirements.
  • Highly organised and able to work independently.
  • Strong leadership and decision-making skills.
  • Proactive in addressing issues and challenges.
  • Willingness to travel as needed to support project activities.
  • Committed to upholding the highest levels of integrity and professionalism, especially in handling sensitive information.

We understand that only some people can do it, and we don't expect everyone to be an expert in everything listed above.

Due to the sensitive nature of the work involved in this role, the successful candidate will be required to undergo enhanced security clearance. Additionally, whilst this is a remote-first role, there will be, on occasion, the requirement to travel to our office of the client site. We anticipate this to be around once a month.
