Job Description:
As a Procurement Analyst at Softrams, you will play a crucial role in managing and optimizing our procurement processes, ensuring that the company secures the best products and services at competitive prices. Your responsibilities will involve working closely with project managers and staff to assess the necessity of products, negotiate with vendors, manage budgets, and ensure timely procurement and renewals. This position is key to maintaining efficient operations and supporting various company projects through strategic purchasing.

Required Qualifications:
- Proven experience in procurement, purchasing, or a related field.
- Strong negotiation skills and the ability to manage vendor relationships.
- Excellent organizational and multitasking abilities.
- Proficiency in using procurement software and tools, such as Snipe IT and Unanet.
- Strong communication skills and the ability to work collaboratively with cross-functional teams.
Responsibilities:
- Vendor and Product Management:
- Collaborate with project managers and staff to determine the necessity of products and licenses, ensuring expenditures are justified.
- Identify and secure the best pricing for short-term and long-term use, negotiating with vendors to meet the company’s needs.
- Develop and maintain relationships with vendors, including third-party suppliers, to ensure smooth procurement processes.
- Licenses and Renewals:
- Manage company-wide and project-specific licenses, software, and memberships.
- Initiate the renewal process at least 30 days before expiration, ensuring the best available pricing and avoiding service interruptions.
- Utilize tools like Snipe IT to track all licenses and renewals, ensuring accuracy and up-to-date records.
- Budget Management:
- Oversee discretionary budgets for all projects and practices, ensuring no project or practice exceeds its budget allocation.
- Monitor and report expenditures, including managing credit card receipts and balancing end-of-month purchases.
- Contract and Invoice Management:
- Handle the execution of contracts and agreements, ensuring compliance and timely payment.
- Maintain accurate records of all purchases, including creating purchase orders and uploading invoices to the accounting system (Unanet) and Dropbox.
- Special Projects and Event Coordination:
- Assist with event management, including procurement of conference tickets, promotional items, and coordinating corporate events.
- Manage the purchase and distribution of employee and corporate gifts, ensuring timely and appropriate selections.
- IT and Facilities Support:
- Collaborate with the IT department on procurement needs, including laptop purchases, maintenance, and office supplies.
- Act as a liaison between office staff and service providers for facilities management.
