Overview

digitalundivided is looking for an experienced and talented Events & Special Projects professional to join our remote-first team, with nonprofit headquarters in Newark, NJ. This is a full-time position reporting to the Associate Director of Partnerships & Events.

Role & Responsibilities

Events & Special Projects is looking for a well-seasoned event producer to develop and execute in-person and virtual events for digitialundivided’s founders, partners, stakeholders, and community as well as managing additional ad-hoc projects for the organization. The ideal candidate is a strong-problem solver, creative, and organized.

This candidate will be responsible for planning in-person events across the country, as well as virtual events; sourcing and managing minority-owned (with preference to Latina and Black women-owned) vendors such as venues, F&B, photographers and videographers, entertainment, and more. Each event should be thoughtfully curated, driving digitalundivided’s mission to achieve the event’s goals. This candidate will be accountable for bringing each event to life from its inception through to the end, taking a concept from discussion to execution through the communication and operation of all vendors and partners, through project management of the logistics and through to day-of (live or digital) execution to ensuring the client is aware of the schedule, deliverables and expectations throughout. This candidate should be able to plan both large-scale and high-end events with 100+ attendees as well as an intimate and impactful gathering. The digitalundivided team is estimated to plan for ~1 in-person event per month, beginning in July 2022.

What You Will Do:

  • Responsible for leading and/or supporting the planning and execution of multiple in-person and virtual events with creativity, innovation, and strategy, delivering world-class creative execution
  • Manage additional ad-hoc projects for the organization, when needed
  • Coordinate with various service lines, arranging and overseeing all event details, such as venue, food & beverage, audio and visual, printing & branding, décor, photography & videography, entertainment, gift bags, and more. Preference to work with all minority-owned vendors.
  • Work closely with Associate Director of Partnerships & Events to develop and be responsible for event requirements and deliverables, including but not limited to communications, calendars, registration needs, and wrap up reports to create compelling value add points for attendees and metrics for partners
  • Support communications efforts to bring creativity before, during, and after event engagement
  • Clearly communicate event project scope, schedules, deliverable dates, project status/action items and any other relevant information to the internal event team
  • Responsible for overseeing the entire guest experience, including, but not limited to:
    • Pre-event: compiling guest lists, drafting and distributing invites, tracking RSVP’s, sending confirmations to guests
    • During-event: provide a welcoming first impression and elevated experience throughout each event
    • Post-event: follow up, thank you’s, and data compilation
  • Serve as the point of contact for vendors and facilitate on-going communication
  • Handle travel arrangements for event staff and VIP guests, including booking flights and cars
  • Manage and control assigned budgets
  • Manage and ensure partner & vendor agreements are monitored and achieved throughout the event production process
  • Be proactive with ideas and creative solutions
  • Travel to events for on-the-ground management and execution

Requirements

Must Have Qualifications:

  • Outstanding verbal and written communication skills
  • Detail-oriented with effective time management skills and the ability to produce results while working under pressure
  • Comfortable with a fast-paced, startup environment
  • Good with names and faces
  • Experience in sales, events and/or customer service within a teamwork environment

Desired Qualifications:

  • Strong ethics, high energy, and passion for digitalundivided’s mission, with a focus on driving impact
  • At least 3+ years of experience of high-quality event production ranging between 50-300+ attendees
  • Problem-solver; always having a plan B, C, and D
  • Highly organized with the ability to handle multiple tasks to meet deadlines
  • Excellent oral and written communication skills
  • Strong negotiating, risk management and contracting skills
  • Good/advanced working knowledge of audio visual systems as it relates to live and virtual events
  • Ability to work both independently without close oversight, but also a team player who will productively engage with others at varying levels of seniority within and outside digitalundivided
  • Willing to travel
